How to Add a Signature to a PDF

A visible signature can help prepare a document for review, but it is important to understand what type of signature you are adding.

Prepare the document

Open the PDF and check that you are allowed to sign it electronically. Some organisations require a specific e-signature provider, identity check or certificate-based digital signature.

Add a visible signature

Open the Sign PDF tool, enter the name or signature text you want to display, place it in the appropriate area and save the output. Review the signature position and ensure it does not cover important text.

Know the difference

A typed or drawn signature placed as page content is a visual mark. By itself, it does not prove the signer’s identity, provide a trusted certificate or create a tamper-evident digital signature. Legal and business requirements vary by jurisdiction and document type.

Verify before sending

Open the saved PDF, inspect the signed page and follow the recipient’s instructions. For contracts, financial documents or regulated workflows, use the signing method specifically accepted by the recipient.

Frequently asked questions

Is a typed signature a verified digital signature?

No. A visible signature mark and a certificate-backed digital signature are different.

Can I sign any document?

Only sign documents you are authorised to sign, and check whether the recipient requires a specific signing process.
